How It Works
What We Do
Quicktate uses live professional transcribers to convert audio notes, to-do lists, medical reports, conference calls, legal files, voicemail messages, etc. to text. We accept both short and long files.
We currently transcribe English and Spanish files and will be adding new languages based on
customer demand.
Creating Audio Notes
There are several ways to create audio notes. The following are just a few examples:
- Evernote iPhone app

- Be sure to enter the phone numbers you will be calling from in your Profile settings
- Create a phone PIN in Profile settings
- Email an audio file to your Evernote account (We accept many, but not all audio formats)
- Other smart phone apps - Email audio notes directly to your Evernote address
- Digital voice recorders - Email recordings directly to your Evernote address
How do I record a note using the Evernote app?
To record, click on the microphone and when finished, just click the SAVE button.
Now that my audio note is in Evernote, how does it get transcribed?
When you log in to your Quicktate account, you will need to "Enable" Quicktate integration with Evernote. After you do this, Evernote "notifies" Quicktate whenever you have a new audio note, at which time Quicktate electronically retrieves a copy of your audio note and then transcribes it. Currently we will transcribe all new audio notes that appear in your Evernote account subsequent to the time you click "Enable". We will be soon adding a button so that you can request that your old audio notes be transcribed too. If you need old note transcribed immediately, please let us know and we'll show you a way to do this.
What if I dictate a new audio note and I don't want it transcribed?
If you don't want a particular note transcribed, just tag that audio note with NOQT before you record it and it will not get transcribed.
What if my audio note doesn't get transcribed?
If for some reason you do not receive your transcribed file, please submit a support ticket by clicking on "Contact Us".
Saving Files in Evernote
After your file is transcribed, we email you a copy and also deliver a copy to your
Evernote account for storage and searching. The transcript will be posted in your Notebook
immediately below the original audio note. Also included will be the word count as well as a
"contact" button to alert Quicktate in the event you wish to talk to us about that
particular file.
Saving Files in Quicktate
Quicktate saves a copy of your transcript in your Quicktate account, along with the
word count for that file, and the total word count for all your files, grouped by month.
Quicktate does not save a copy of your audio notes if they originate in your Evernote
account.
Transcribing Voicemail Messages
We offer two ways for your voicemail messages to be transcribed:
- Within Evernote - Your voice messages and transcripts are stored/ searched in Evernote and delivered to you by email.
- Within Quicktate - Your voice messages and transcripts are stored at Quicktate.com and delivered to you by email.
Procedure to have your voice mail messages transcribed and stored in Evernote:
- Log in to your current phone service provider's web portal.
- Edit the email destination where your voicemail files are being sent. Enter your Evernote email address as the default destination. You only need to do this once.
- Most, but not all phone service providers offer this "voicemail to email" service.
- Now, when you receive a voice mail message, the audio file will be sent to Evernote.
- Evernote then "notifies" Quicktate that you have a new voice mail message, at which time Quicktate electronically retrieves the audio file and then transcribes it.
- After your file is transcribed, Quicktate will email you the transcript and will deliver a copy to your Evernote account for storage and searching. The transcript will be posted in your Notebook immediately below the original audio note. Also included will be the word count as well as a "contact" button to alert Quicktate in the event you wish to talk to us about that particular file.
- Quicktate also saves the transcript in your Quicktate account, along with the word count for that file, and the total word count for all your files, grouped by month.
Procedure to have your voice mail messages transcribed and stored at Quicktate.com:
- Set your phone to "busy-no-answer-call-forwarding" to your private Quicktate number. Let us know if you need a private number, or if you need help with the setup. There will be modest charge for a maintaining a private Quicktate number.
- When you don't answer your phone, the call will divert directly to Quicktate, where it will be transcribed.
- The transcription and a link to the audio file will be emailed to you and stored in Quicktate, accessible when you log in to your account.
